Vendor Guidelines and Requirements

Martin’s Grassroots Soybean Festival is a community focused gathering built around local music, local makers, food, faith, farmers, artists, small businesses, and the people of Martin coming together.

Our goal is to keep this event simple, safe, organized, and rooted in the community.

All vendors must be approved before setting up at the festival.

Festival Dates and Times

Vendor dates and times will be announced once the final event schedule and city approval are complete.

Vendors will be expected to remain open during the full vendor hours unless prior approval is given by the festival team.

Vendor Approval

All vendor applications are subject to approval by the Martin’s Grassroots Soybean Festival team.

Submitting an application does not guarantee acceptance.

Vendors must list all items they plan to sell. Any items not listed on the application may not be allowed at the event.

The festival team reserves the right to deny or remove any product, booth, or display that does not fit the purpose, safety standards, or community focused nature of the event.

Merchandise and Products

All merchandise, food, services, or promotional items must be listed on the vendor application.

We cannot guarantee exclusivity for any product category.

Vendors may not sell items that were not approved in advance.

First time vendors may be asked to provide photos of their booth, trailer, setup, or products.

Prohibited Items

The following items are not allowed:

Items that shoot projectiles
Silly string
Laser pointers
Smoke bombs
Stink bombs
Fireworks
Tobacco products
Weapons
Knives
Offensive memorabilia
Items that could create a safety concern for guests

The festival team reserves the right to remove any item or booth that creates a safety issue or does not fit the purpose of the event.

Vendors removed for violating these rules may not receive a refund.

Food Vendors and Food Trucks

All food vendors must follow Tennessee Department of Health requirements.

Food trucks and food vendors may be required to provide proof of proper licensing, permitting, or inspection before being approved.

Food trucks must also follow any City of Martin requirements for operating on city property.

Food vendors are responsible for their own food safety compliance.

Insurance

Food vendors, food trucks, amusement vendors, and any higher risk vendor may be required to provide a certificate of liability insurance.

If required, the certificate may need to name the appropriate event organization “Martin’s Grassroots Soybean Festival.”

Final insurance requirements will be based on city requirements, event insurance requirements, and the type of vendor.

Raffles and Games of Chance

Raffles, games of chance, and similar fundraising activities are restricted by Tennessee law.

Only qualified organizations that meet Tennessee charitable gaming requirements may be allowed to conduct a raffle or game of chance.

Vendors may not hold raffles without prior approval and proper legal authorization.

Booth Space

Vendors must bring their own tents, tables, chairs, displays, extension cords, and any other equipment needed for their booth.

Standard booth space is expected to be based around a 10 foot by 10 foot setup unless otherwise approved.

All tents must be properly secured with weights.

Vendors are responsible for keeping their booth area clean, safe, and professional during the event.

Electricity

Electricity will not be provided for vendor booths.

Vendors must plan to operate without access to power unless they are an approved food truck or food vendor with their own self contained power source.

Quiet generators may only be used with prior approval from the festival team and must be listed on the vendor application.

Any generator, power cord, battery system, or electrical setup must be safe, properly maintained, and kept away from walkways or public traffic areas.

Vendors are responsible for bringing everything needed to operate their booth without festival provided electricity.

Water and Grease Disposal

Continuous water hookups may not be available.

Food vendors must bring what they need to operate safely and legally.

No grease may be poured into storm drains, streets, grass, sidewalks, or public areas.

Food vendors are responsible for removing their own grease and wastewater according to proper guidelines.

Trash and Cleanup

Vendors are responsible for their assigned space.

Each vendor must keep their booth area clean during the event and leave the space in the same condition it was found.

Vendors should bring trash cans or bags for their own booth.

Festival dumpsters or trash areas may be provided, but vendors are still responsible for properly bagging and disposing of their own trash.

Vehicles and Setup

All vendors must check in before setting up.

Vendors may not park or unload until they have checked in and received their assigned space.

Vehicles must be removed from the vendor area before the event opens.

Late arrivals may not be allowed to drive into the event area once public setup is complete.

Vendor parking instructions will be provided before the event.

Security

Vendors are responsible for their own property.

The festival team will work to create a safe environment, but Martin’s Grassroots Soybean Festival is not responsible for lost, stolen, or damaged vendor property.

All booths must be staffed during vendor hours.

Payment

Vendors must be approved before payment is collected.

Once approved, vendors will receive payment instructions.

Vendor fees are non refundable unless the festival team cancels the event or makes a specific exception.

Final Approval

All vendors must follow these guidelines, city requirements, health department requirements, and any final instructions from the festival team.

The goal is simple:

Create a safe, organized, community focused event that gives Martin a place to gather, celebrate local people, and keep this tradition alive.
